These Terms and Conditions govern all bookings, services and equipment hire provided by Twenty Coffee (Pty) Ltd ("Twenty Coffee", "we", "us" or "our"). By accepting a quotation, paying a deposit, making payment, or making use of our services, the Client ("Client", "you" or "your") agrees to be bound by these Terms and Conditions.
1. Services
Twenty Coffee provides mobile coffee cart hire services for weddings, corporate functions, exhibitions, private events, birthday celebrations, festivals, and other special occasions.
Services are provided based on the package selected by the Client and may include coffee cart hire, professional barista services, coffee beverages, hot chocolate, tea, and other menu items as specified in the accepted quotation.
All packages are subject to the beverage quantities stated in the quotation and are not offered on an unlimited consumption basis unless expressly agreed in writing by Twenty Coffee.
Twenty Coffee reserves the right to substitute products, ingredients, equipment, or consumables with equivalent alternatives where necessary due to product availability, supplier issues, logistical constraints, or circumstances beyond its reasonable control.
All services are subject to availability and written confirmation by Twenty Coffee.
2. Quotations and Bookings
2.1 All quotations are valid for thirty (30) days unless otherwise stated.
2.2 A booking shall only be deemed confirmed once:
The Client has accepted the quotation in writing; and
The required deposit has been received by Twenty Coffee.
2.3 Twenty Coffee reserves the right to decline any booking at its sole discretion.
2.4 Event dates will not be reserved without payment of the required deposit.
2.5 Any amendments requested after a quotation has been accepted may result in additional charges.
3. Payment Terms
3.1 A non-refundable booking deposit of fifty percent (50%) of the total booking value is required to secure the event date unless otherwise agreed in writing.
3.2 The remaining balance must be paid no later than seven (7) calendar days prior to the event date.
3.3 For bookings made within seven (7) days of the event, full payment is required immediately upon confirmation.
3.4 Failure to make payment by the due date may result in cancellation of the booking without refund of any amounts already paid.
3.5 Twenty Coffee reserves the right to withhold services where outstanding amounts remain unpaid.
3.6 All prices are quoted in South African Rand (ZAR).
4. Event Information
4.1 The Client is responsible for providing accurate event information, including but not limited to:
Venue name and address;
Event date and service times;
Estimated guest count;
Access requirements;
Venue restrictions;
On-site contact person.
4.2 Any changes to event information must be communicated in writing as soon as reasonably possible.
4.3 Additional costs arising from inaccurate information supplied by the Client shall be for the Client's account.
5. Venue Requirements
The Client shall ensure that:
5.1 Twenty Coffee has safe and reasonable access to the venue for setup and breakdown.
5.2 A suitable operating area is provided, including adequate space for equipment and staff.
5.3 Suitable electrical power is available where required.
5.4 All venue permissions, permits and approvals required for Twenty Coffee to operate at the venue have been obtained.
5.5 The operating area is protected from rain, wind, excessive heat, or other adverse weather conditions where necessary.
5.6 The venue complies with all applicable health and safety requirements.
5.7 Should venue conditions be deemed unsafe by Twenty Coffee, we reserve the right to suspend or refuse service until such conditions are rectified.
6. Setup and Breakdown
6.1 Setup and breakdown times will be agreed upon prior to the event.
6.2 Delays caused by the Client, venue management, other suppliers, or guests may result in additional charges.
6.3 Twenty Coffee reserves the right to adjust setup arrangements where reasonably necessary to ensure safe and efficient operation.
7. Package Quantities and Additional Consumption
7.1 Twenty Coffee provides coffee cart hire services based on pre-selected beverage packages. Unless expressly stated otherwise in writing, all packages are subject to a maximum number of beverages/cups as specified in the accepted quotation.
7.2 Package pricing is based on the number of beverages purchased and not solely on the number of guests attending the event.
7.3 The Client is responsible for selecting a package suitable for their anticipated guest attendance and beverage consumption requirements.
7.4 Should the Client require a larger package prior to the event, Twenty Coffee must be notified in writing. Additional beverage quantities may be added to the booking and will be quoted separately.
7.5 Twenty Coffee will monitor beverage consumption during the event and will notify the Client or the Client's designated representative when the purchased beverage allocation is nearing completion or has been exhausted.
7.6 Once the purchased beverage allocation has been reached, Twenty Coffee reserves the right to pause or discontinue service until further instructions are received from the Client or the Client's designated representative.
7.7 Should the Client elect to continue service beyond the purchased beverage allocation, additional beverages will be charged at the pre-agreed rate communicated to the Client prior to the event or at the rate confirmed on the day of the event.
7.8 The Client agrees that any additional beverages authorised during the event shall be deemed accepted and payable in full.
7.9 Payment for additional beverages authorised during the event shall be due immediately upon request. Twenty Coffee reserves the right to suspend or discontinue service until proof of payment has been received.
7.10 Any additional beverages served at the Client's request shall remain payable in full irrespective of whether all beverages are ultimately consumed.
7.11 Twenty Coffee shall not be liable for any dissatisfaction, interruption of service, or inability to serve further beverages where the purchased beverage allocation has been exhausted and the Client elects not to purchase additional beverages.
7.12 Any beverage quantities, guest counts, or package requirements supplied by the Client are deemed accurate for quotation purposes. Twenty Coffee shall not be responsible for shortages resulting from inaccurate guest numbers or consumption estimates provided by the Client.
8. Travel and Accommodation
8.1 Travel fees may apply depending on the location of the event.
8.2 Events located outside Twenty Coffee's standard service areas may incur additional travel, accommodation, toll, parking, or logistical charges.
8.3 Any applicable travel-related costs will be reflected in the quotation.
9. Equipment and Property
9.1 All coffee carts, coffee machines, grinders, signage, furniture, accessories, equipment and related items remain the sole property of Twenty Coffee at all times.
9.2 The Client shall take reasonable care to prevent damage, theft, misuse or interference with Twenty Coffee equipment.
9.3 The Client shall be liable for any loss, theft, damage or destruction caused by guests, venue staff, contractors or any person associated with the event.
9.4 The Client shall be responsible for the full cost of repair or replacement where equipment is damaged, lost or stolen.
9.5 No person other than authorised Twenty Coffee personnel may operate, move, modify or interfere with Twenty Coffee equipment.
10. Client Conduct
10.1 Twenty Coffee reserves the right to suspend or terminate services where our staff are subjected to:
Threatening behaviour;
Harassment;
Abuse;
Violence;
Intimidation; or
Unsafe working conditions.
10.2 No refund shall be payable where services are suspended due to such conduct.
11. Food Safety and Allergens
11.1 Twenty Coffee takes reasonable care in the preparation and serving of beverages.
11.2 While reasonable precautions are taken, Twenty Coffee cannot guarantee that any beverage is completely free from allergens.
11.3 Guests are responsible for informing Twenty Coffee staff of any allergies or dietary requirements before placing an order.
11.4 Twenty Coffee shall not be liable for allergic reactions, dietary issues or medical conditions arising from the consumption of products served.
12. Force Majeure
12.1 Twenty Coffee shall not be liable for any delay, interruption or failure to perform its obligations where such delay or failure arises from circumstances beyond its reasonable control, including but not limited to:
Severe weather;
Natural disasters;
Floods;
Fires;
Power outages;
Government restrictions;
Labour disputes;
Transport disruptions;
Civil unrest;
Epidemics or pandemics.
12.2 In such circumstances, Twenty Coffee may offer an alternative date where reasonably possible but shall not be liable for any consequential losses.
13. Cancellation Policy
Client Cancellation
13.1 All cancellations must be submitted in writing.
13.2 The following cancellation charges shall apply:
More than 30 days before the event: Deposit forfeited.
14 to 30 days before the event: 75% of the total booking value payable.
7 days or less before the event: 100% of the total booking value payable.
13.3 Any custom branding, printed materials, special-order products, accommodation bookings, or third-party costs already incurred shall remain payable in full.
Twenty Coffee Cancellation
13.4 In the unlikely event that Twenty Coffee is unable to fulfil a booking due to circumstances within its reasonable control, Twenty Coffee's liability shall be limited to a refund of monies paid by the Client.
13.5 Twenty Coffee shall not be liable for indirect, consequential or economic losses.
14. Limitation of Liability
14.1 To the fullest extent permitted by law, Twenty Coffee shall not be liable for:
Indirect damages;
Consequential damages;
Loss of profits;
Loss of business;
Loss of opportunity;
Loss of reputation; or
Any incidental losses arising from the event.
14.2 Twenty Coffee's total liability arising from any claim shall not exceed the total amount paid by the Client for the booking.
14.3 Nothing contained herein shall exclude liability where such exclusion is prohibited by South African law.
15. Photography and Marketing
15.1 Twenty Coffee may photograph or record its setup, equipment and service delivery at events for portfolio, marketing, promotional and social media purposes.
15.2 Should the Client object to such use, written notice must be provided prior to the event date.
16. Privacy and POPIA
16.1 Twenty Coffee will process personal information in accordance with the Protection of Personal Information Act, 2013 ("POPIA").
16.2 Personal information collected from Clients will only be used for:
Booking administration;
Service delivery;
Client communication;
Accounting purposes; and
Legal and regulatory compliance.
16.3 Twenty Coffee will not knowingly disclose personal information to third parties except where required for service delivery, legal compliance, or with the Client's consent.
17. Complaints
17.1 Any complaints relating to the services provided must be submitted in writing within seven (7) days of the event.
17.2 Twenty Coffee shall investigate all reasonable complaints and provide a response within a reasonable period.
18. Governing Law
18.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of South Africa.
18.2 Any dispute arising from these Terms and Conditions shall be subject to the jurisdiction of the courts of South Africa.
19. Acceptance
By accepting a quotation, paying a deposit, making payment, or making use of Twenty Coffee's services, the Client acknowledges that they have read, understood and agree to be bound by these Terms and Conditions in full.
